Influencer Outreach Email and DM Templates That Get Replies (and When to Skip Outreach)

Eight influencer outreach email templates for gifted, paid and UGC offers, plus a DM, follow-up and rate replies, subject lines and when to skip outreach.

An influencer outreach email that gets replies answers the creator's four questions before they have to ask: what you pay, what you want made, how you will use it, and when. Keep it short, open with the one video that made you choose this creator, put the offer in a single block with a real number, and finish with one easy question. Send it from your brand's domain or official account, follow up once about five working days later, and then stop.

The guide includes eight copy-ready messages. Three are first-contact emails: a gifted collaboration offer that says plainly there is no fee and asks the creator to label the post as gifted, a paid post offer that lists the fee, deliverable, revision round, usage window and payment timing, and a UGC-only request that makes clear nothing is posted on the creator's account and states the paid-ads term up front. The others cover a short first DM, a single follow-up, two replies for rate conversations, a kind decline and a note for re-booking a creator who delivered.

There are three ways to contact influencers for collaboration: the business email the creator published, a direct message, or a marketplace. Email is best for a full offer, and a YouTube channel's About section shows a business address when the owner has provided one. On Instagram, a message to a creator who does not follow your brand arrives as a text-only request, so the offer must be in words. A small business should start with about ten creators, write as the owner, decide gifted or paid, follow up once and log every outcome. When the list outgrows an hour a week, post the offer once and let creators apply.

Creators check who is writing before they read the offer, because fake brand deals are common. Google has described fake sponsorship emails that impersonated real companies to deliver malware to YouTube creators. Outreach reads as genuine when it can be traced to a real brand, states the pay and terms, links only to your own site or account, stays on email or the original platform, never asks the creator to pay anything, and offers a simple way to verify the sender.

Subject lines work when they say what the email is: the offer type and the number, in about eight words, such as “[Brand] x [Name]: paid TikTok, $[fee]”. Creators stay silent when the offer has no number, arrives on the wrong channel or does not fit their audience. When a creator asks your budget, give a real figure for a defined scope. When a quote comes in above it, change the scope, such as a Story set or organic use only, and keep the door open for a bigger campaign later.

Cold outreach costs hours, not dollars. In an illustrative example, booking ten creators by contacting forty takes about twelve hours of messaging, follow-ups and negotiation, against about four hours to write one detailed brief, screen applicants and confirm the chosen creators. Apply-first briefs have their own costs, such as a platform fee or limited reach, but they scale better as the number of creators grows. Outreach still wins for a handful of hand-picked creators, established names and re-booking people who delivered.

Aurelia is the creator campaign marketplace built for the apply-first route. A brand posts one campaign with the pay per creator, deliverables, dates and application questions, or drops in the brief it already has, and creators who want the work apply with their media kit attached. Aurelia's picks rank every applicant against the brief with plain reasons, offers and contracts are generated from the campaign, shipping and content review run in one place, and each creator is paid to their bank automatically from one campaign order when the brand approves their work. Every campaign shows creators their take-home pay, with Aurelia's fee already taken out, before they apply. Creators a brand finds itself join by invite link, at the top of the applicants.
